Club Constitution

Name
The club shall be known as Alconbury Cricket Club.
Aims
(i) To encourage the playing of the game of cricket through the provision of practice and playing facilities, coaching and fixtures for all playing members.
(ii) To afford all members such benefits and privileges as it may be possible to arrange.
(iii) To ensure all members, playing and non playing members, conform to the Laws of the game and Code of Conduct.
(iv) To encourage members of all categories to participate in the life of the club through playing, social and fund raising activities and general management.
Membership
1.ORDINARY MEMBERSHIP
Membership shall be open to all. Admittance to membership shall be determined by the Management Committee.
2.HONORARY LIFE MEMBERSHIP
The general meeting of the club may select Honorary Life Membership in recognition of major services to the club or to the game of cricket.
Management
The transaction of the business of the club shall be vested in a Management (General) Committee elected at the Annual General Meeting which in addition to the powers of authority of this Constitution may exercise all powers and authority and undertake all acts in furtherance of aims from which the club is established and are not hereby expressly directed.
General Meetings
The Annual General Meeting (AGM) of the club shall be held following the season and by 30th November at the latest.
At least 21 days notice shall be given of the AGM in writing to all club members accompanied by the Agenda and Papers signifying the business to be transacted which shall include:
Confirmation of the minutes of the previous AGM and any business arising there from.
(a) Annual Report (Secretary)
(b) Audited Balance Sheet (Statement of Accounts) and Treasurers Report.
(c) Election of President, Vice Presidents, Chairman, Vice Chairman, Secretary, Treasurer, Committee Members, Senior Team Captains and Auditor (together with such other posts as may have been agreed by the Management Committee).
(d) Notified Amendments to Constitution.
(e) Annual Subscriptions.
(f) Other business duly notified to the Secretary.
Special (Extraordinary) General Meeting
By simple majority of the Management Committee or on a requisition signed by at least ten club members a Special (or Extraordinary) General Meeting (S/EGM) shall be convened by the Secretary giving at least fourteen days notice in writing to all club members specifying the business to be transacted.
Committees
Such other committees or sub-committees shall be established as deemed appropriate by the Management Committee or by vote at the Annual General Meeting (Special General Meeting). The terms of reference of such committees shall be determined by the Management Committee, with the General Management Committee meetings being held at least bi-monthly.
Co-Option
Power to co-opt as deemed appropriate shall be vested in all committees of the club but co-opted committee members shall not be entitled to vote. Co-opted members
May be non-club members invited to advise on specialist subjects.
Voting
At all meetings of the club, including Annual and Special General Meetings, each member having paid a senior subscription shall be entitled to one vote. In the event of an equal vote the Chairman of the meeting shall have a second casting vote. Voting of all meetings shall be by a show of hands except where the Management Committee or Meeting Chairman decides voting shall be by ballot. At all meetings decisions shall be made by a simple majority.
Quorum
The quorum at Annual/ Special General Meetings shall be 6 members.
The quorum at Management committee meetings shall be 4 members.
The quorum at Sub committee meetings shall be 3 members.
Secretary
The Secretary shall be responsible for all correspondence, the Notice, Agenda and Minutes of Annual, Special and Management Committee Meetings. Minutes of the aforementioned meetings shall be presented for confirmation at the following meeting. (Minutes should also be taken of Sub-Committee meetings).
Treasurer
The Treasurer shall be responsible for all financial matters including receipt of the monies, payments, banking and the production of an audited Annual Balance Sheet/ Statement of Accounts and Annual Report. The Treasurer shall also be responsible for producing an update of the financial position of the club, as required by the Management Committee.
The Treasurer shall ensure that all cheques are signed by two of the following officers: Chairman, Vice Chairman or Treasurer.
The Treasurer shall ensure that the agreed insurance policy is in place.
Financial Year
The clubs financial year shall be from 1st November to 31st October.
Auditor
The Auditor for the ensuring year shall be appointed at the Annual General Meeting.
Subscriptions
A bona fide member of the club shall be deemed as such upon payment of the appropriate subscriptions by the stipulated date each year or by Management Committee recorded decision. A list of members in all categories shall be maintained by the Treasurer.
Monies
Any member authorised to collect monies for or on behalf of the club shall pay such monies to the Treasurer within twenty one days of collection or within fourteen days following a specific event.
Eligibility
No person shall be eligible to take part in the business of the club unless the appropriate subscription has been paid by the specified date, or membership agreed by the Management Committee.
No person shall be eligible for selection for any club team unless his/her subscription has been paid by the specified date(s).
Suspension
The Management Committee shall have power to suspend or exclude any member, in any category, for contravention of this Constitution and/or documented rules and/or Codes of Conduct or conduct that is deemed detrimental to the good name of Alconbury Cricket Club.
Appeal
Any member suspended or excluded by the Management Committee (or a delegated sub-committee) shall have the right to attend an appeal hearing, be represented and produce witnesses in support of his/her appeal. The Appeal Board (a maximum of three) shall not include members of the original decision making committee but may include non-members of the club.
The decision of the Appeal Board shall be final and binding on all parties.
Amendment to Constitution
Amendment(s) to this Constitution shall only be made at an Annual or Special General Meeting with the specified notice in writing of the meeting, together with the proposed amendment(s).
Equity and Equality Statement
Alconbury Cricket Club will aim to be fair, reasonable and just in all its activities. As an open and accessible organisation everyone will be welcomed who wishes to take part.
Individuals will be encouraged to take on responsibility so that they can influence and participate in the decision making process of the clubs business.
There is a recognition that everyone is of equal value and should be respected according to individual needs and abilities.
The club will take positive action to encourage membership from all sections of the community. (e.g. those on low incomes, older people, disabled people, ethnic minorities, women and girls).
